Flygbussarna Case Study
Flygbussarna implemented a new Optimisation module to reduce costs by increasing the efficiency of driver pay.
Background Data
- 400 drivers and 40 staff
- 87 buses
- 11 routes
- 4.7 million passengers a year
The Background
Flygbussarna is a commercial bus company operating in Sweden, with head offices in Stockholm. It provides airport transfers from nearby cities to the country’s seven largest airports – Arlanda, Bromma, Landvetter, Malmo, Skavsta, Visby, and Vasteras.
Flygbussarna has been a Trapeze customer since the early 2000s.
The company is dedicated to the highest levels of passenger experience. It maintains a fleet of 87 buses, each no more than 7 years old, and equipped with the latest in comfort and technology, including Wi-Fi and air conditioning. Additionally, all vehicles are 100% fossil fuel free – evidence of Flygbussarna’s stated mission to contribute to a sustainable society where public transportation is an obvious, inclusive and diverse choice.
“We have been working with Trapeze for almost 20 years – and today we are closer than ever. Trapeze is focused on user experience and optimisation“

The Challenge
For the past 20 years Flygbussarna has faced fierce competition from trains, taxis and privately-owned cars. Recently, reductions in airport car parking charges have seen driving become more affordable – undermining one of Flygbussarna’s main advantages.
Flygbussarna needed to respond to increasing competition by reducing operational costs – while retaining the exceptional (and award winning) level of customer service for which it is renowned.
Project manager Johanna Gerdin Bueno said: “The market has shifted in the past 20 years. We knew we needed to be more responsive in our operations in order to save money and maintain profit margins.”

The Solution
Business Development Manager Linda and the team identified data-informed optimisation as a means to streamline driver duties, thereby reducing driver pay and overall operational costs.
Crucially, utilising computer algorithms enabled Flygbussarna to optimise on an ongoing basis, rather than at specific times each year. Johanna said: “When a computer allocates duties, it considers so many more data points than a human ever could – it looks much farther ahead in the calculations. As a result, we are able to run tests with the data: making small tweaks to how the outcomes change, and using this to find the most optimal approach. We could never do that before.”
Indeed, such is the flexibility of the solution, that Flygbussarna were able to reschedule on a daily basis over Christmas, a process which would usually take weeks. This enabled the team to far more efficiently meet the requirements of fluctuations through the festive period.
Johanna reports that this flexibility has enabled Flygbussarna to significantly increase overall efficiency: “We implemented the software in November 2018 and could see the cost saving immediately. The investment was repaid within a year.”
And Johanna feels the relationship between Flygbussarna and Trapeze has evolved through this shared project: “We have been working with Trapeze for almost 20 years – and today we are closer than ever. Trapeze is focused on user experience and optimisation, helping us to move ahead of our competition. It is a partnership relationship – not just a supplier and customer.”
